Facebook and Instagram Ads to WhatsApp: Measure Qualified Enquiries
Measure WhatsApp advertising at two levels: conversations started through advertising and enquiries meeting your qualification criteria. Define those criteria before launch, then record each enquiry’s source, owner and outcome. A cheap conversation does not prove campaign quality, and a conversation is not a confirmed order. Connecting it to sales requires real follow-up and explicit measurement limits.
What do click-to-WhatsApp ads do?
WhatsApp Business describes an advertising route into a WhatsApp conversation. Opening that conversation does not demonstrate fit or purchase. Some people need information, some are outside your service area, and some send repeated messages. Keep the platform's conversation metric and a separate follow-up register showing what happened next.
Define qualification before launch
For a service business, qualification might require an available service, a supported market, a clear need and a suitable follow-up window. For a store, it might involve an available product and an address within delivery coverage. Do not collect personal information merely to fill a qualification form. Standardise disqualification reasons so different employees do not classify the same situation differently.
A three-question opening template
Hypothetical product-photography enquiry: “Thanks for getting in touch. What type of products do you need photographed? Which governorate is the shoot in? When do you approximately need delivery?” The employee then requests only necessary details and explains the next step. Avoid a long interrogation or an unapproved price or delivery promise.
A compact follow-up sheet
Internal reference and start date, with contact details held in the company's authorised tool.
Known or unknown source; campaign or ad only when evidence supports the link.
Requested service, market or area where relevant, and qualification or rejection reason.
Status: new, qualifying, qualified, follow-up, proposal, confirmed sale or closed.
Responsible employee, next-action date and latest documented outcome.
Avoid putting full private conversations in public reports. When an enquiry cannot be tied to a particular ad, record unknown. Asking customers how they found you can help, but it is self-reported evidence, not verified automated attribution.
A hypothetical calculation without prices
Campaign A starts 100 conversations and qualifies 20: a 20% qualification rate. Campaign B starts 60 and qualifies 24: 40%. With equal spend, the same qualification definition and equivalent periods, B has a lower cost per qualified enquiry despite generating fewer conversations. Sales and profit remain unknown until follow-up outcomes are recorded. Calculate qualified-enquiry cost as spend divided by qualified enquiries; when none qualify, display not calculable rather than a zero cost.
Connect media buying, sales and moderation
Name the person receiving enquiries, the escalation owner, the person closing cases and the actual coverage hours. Review rejection reasons weekly: unclear offer, unserved area or slow follow-up. Follow WhatsApp policies and appropriate messaging permission; a customer starting one conversation is not unlimited permission for future promotional campaigns.
Use Performance Marketing to define objectives and measurement, and the moderation response plan to organise responsibilities instead of evaluating advertising by message count alone.

FAQ
Is every message a lead?
It is an initial enquiry. Treat it as qualified only when it satisfies written criteria appropriate to your business. A confirmed order is another stage.
Do I need a CRM immediately?
A controlled-access sheet can organise an initial workflow, but follow-up still needs an owner, status and date. A sheet does not establish an automated integration.
Why do platform and sales figures differ?
Definitions, reporting periods, attribution and duplicates can differ. Reconcile them and record unknown sources rather than inventing a match.
