Video Revision Workflow: Timestamped Feedback and Final Approval

Keep client, agency and editor feedback tied to one version and one consolidated decision list.

Define the approval reference before the first cut

Agree which message and deliverables the production company will submit: main film, ratios, languages, on-screen text and audio. If one reviewer expects a sales advertisement while the brief describes a brand introduction, repeated editing rounds will not resolve the mismatch. Return to the approved treatment and objective, identify the requested change and agree how it affects the work.

Appoint one owner to consolidate decisions from product, marketing and brand stakeholders. Each department can review its own subject, but the editor should not receive parallel instructions to remove and retain the same shot. A feedback log does not replace creative discussion. It preserves the agreed result of that discussion and links the decision to an identifiable version.

A template for actionable notes

  • Version: the full name of the reviewed cut, rather than “the latest video.”
  • Timestamp: the start and end of the relevant moment or a frame reference.
  • Issue: what prevents understanding or fails to meet the approved brief?
  • Requested change: a specific replacement, removal or correction, with the replacement asset when available.
  • Classification: required correction, scope change needing agreement or optional preference.
  • Decision: approver, implementation status and verification in the next cut.

Hypothetical example: instead of “the logo is unclear,” write “V02, 00:08–00:11: the logo blends into the background; use the approved high-contrast variant and retain the agreed margins.” When the concern is pacing, describe the moment and intended effect rather than labelling a preference a technical defect. Do not ask an editor to invent a new logo or missing product information.

Consolidate a round, then check the result

Before revision begins, confirm every reviewer watched the same file. Merge duplicates, resolve contradictions and deliver one numbered round. On receipt, verify each item and watch the whole video again. Repairing one shot can affect later audio or caption timing. An editor marking a task complete does not replace the reviewer checking whether it meets the intended correction.

Frame.io documents comments attached to a single frame or a time range so reviewers can identify the precise location: https://help.frame.io/en/articles/9105251-commenting-on-your-media . The same version-and-timestamp principle works in a simple spreadsheet. A paid tool is not required for this process, and a reaction or passing comment should not be interpreted as contractual acceptance of every deliverable.

Distinguish a correction from changed scope

Correcting a product name that contradicts approved copy differs from requesting footage of another product after filming finishes. A new language or ratio outside the deliverables can create additional work. Review the written scope, revision rounds and actual error before agreeing the response. Do not presume every request is free or every correction chargeable; the project agreement and circumstances determine that discussion.

Acceptance before publication

Check picture, audio, wording, captions, destination and framing in the final exports themselves, then watch on a device representative of the audience. Record approved filenames, date and location. Keep low-resolution review copies separate from publishing masters. For product content, use the product-page shot checklist to ensure essential information survived revisions.

When requesting advertising video production, include intended use, decision owners and required deliverables. A defined review process makes effort and scheduling easier to assess before filming. This is an operating framework for collaboration, not a promise of zero revisions or a substitute for your specific production agreement.

FAQ

Must every stakeholder use the same review tool?

The version, consolidated round and final decision must be consistent. Opinions can arrive through different channels if one owner resolves them before implementation.

Does approval of landscape video include portrait?

No. Reframing can hide text or the product and alter composition. Check each required output in its actual format and record acceptance.

How should files be named?

Use project, language, ratio and version, adding approved status only after actual sign-off. Avoid ambiguous filenames such as final-latest-new.
